Event Cancellation & Booking Policy
At Podiem, we deliver a range of both paid and complimentary events designed to inform, inspire, and connect our community. Many of our events operate at full capacity, and in some cases have waiting lists due to high demand. This policy is in place to help us manage attendance fairly and ensure as many people as possible can benefit from our events.
By registering for or purchasing a ticket to any Podiem event, you agree to the terms set out below.
1. Paid Events
Ticket Purchases
All tickets for paid events are confirmed at the point of purchase. Due to the costs incurred in planning, venue booking, speaker arrangements, and event delivery, we operate a strict no-refund policy.
Refunds
Tickets for paid events are non-refundable under all circumstances, including non-attendance, change of personal circumstances, travel disruption, or illness.
This applies regardless of how far in advance of the event cancellation is requested.
Name Changes / Ticket Transfers
We understand that circumstances can change. While we are unable to offer refunds, we are happy to accommodate a change of attendee name:
- Name changes are permitted free of charge.
- Requests should be made by contacting us in writing.
- We recommend submitting name change requests at least 48 hours prior to the event, where possible, to ensure accurate registration and check-in.
Event Access
Only individuals registered under a valid booking (original or amended name) will be permitted entry to the event.
2. Free Events
Registration
While free to attend, our complimentary events are often in high demand and frequently reach full capacity shortly after registration opens.
Attendance Commitment
If you register for a free event, we ask that you treat your place as confirmed and attend where possible. If you are no longer able to attend, we strongly encourage you to notify us as early as possible.
Cancellations / non-attendance
If you can no longer attend a free event, please cancel your registration or notify us directly as soon as possible.This allows us to reallocate your place to someone on a waiting list who would otherwise miss out.
Repeated non-attendance without notice may affect your ability to secure places at future complimentary events.
3. Event Changes, Postponements & Cancellations by Podiem
While we aim to deliver all events as advertised, there may be occasions where changes are required due to circumstances beyond our control.
Changes to Events
Podiem reserves the right to:
- Alter event schedules, timings, or formats
- Substitute speakers or presenters where necessary
- Change venues where operationally required
Any changes will be communicated to attendees as soon as reasonably possible.
Postponement or Cancellation
In the unlikely event that an event is postponed or cancelled by Podiem:
- Registered attendees will be notified directly using the contact details provided at booking.
- Where an event is postponed, tickets will automatically be transferred to the new date unless otherwise stated.
- Where an event is cancelled and cannot be rescheduled, we will communicate any applicable refund arrangements for paid events at that time.
4. Communication & Responsibility
It is the responsibility of attendees to ensure that their contact details are accurate and up to date at the time of registration. Podiem cannot be held responsible for missed communications due to incorrect or outdated information.
5. Acceptance of Terms
By registering for, or purchasing a ticket to any Podiem event, you acknowledge that you have read, understood, and agree to this Cancellation & Booking Policy.
